What we ask, why we ask, and how your information is handled.

Privacy matters in an experience built on trust. We collect only the information we reasonably need to begin a conversation, consider whether a retreat may be a mutual fit, and support guests who choose to book.

This Privacy Policy explains how Owa He, referred to as “Owa He,” “we,” “us,” or “our,” handles personal information collected through this website, application and collaboration forms, email conversations, virtual meetings, and future retreat services.

What this policy covers

This policy applies when you visit our website, submit an application or collaboration inquiry, communicate with us, or participate in the booking process. It does not control the independent privacy practices of a property, guide, airline, payment processor, activity operator, or other third party whose services you use.

When another provider collects information directly from you, its own privacy notice and terms may apply.

Information we collect

Contact and application information. This may include your name, email address, phone number, general location, age confirmation, preferred contact method, destination interests, availability, room preference, and answers you choose to provide about what draws you to Owa He.

Travel and retreat information. This may include travel experience, passport status without asking for your passport number at the application stage, dietary needs, allergies, mobility or accessibility needs, movement experience, fitness goals, and the support you may need to participate.

Identity and personal context. Some optional questions may invite you to share information about identity, relationships, life circumstances, or personal goals. You decide how much detail to provide.

Communications. We may keep messages, survey responses, meeting notes, requests, and feedback you send to us.

Technical information. Our website and embedded form provider may automatically receive information such as device type, browser, IP address, approximate location derived from an IP address, referral page, pages viewed, and cookie or similar technology data.

Booking and payment information. If you later book, we may collect the details needed to administer your reservation. Payment information may be processed directly by a payment provider. We do not intend to store full payment card numbers ourselves.

How we use information

We use information to respond to inquiries, send the follow-up survey, review applications, schedule and conduct virtual conversations, determine mutual fit, discuss accessibility or dietary needs, and communicate about destinations and availability.

If you book, we may also use information to manage payments and reservations, coordinate accommodations and included activities, support guest safety and wellbeing, respond to emergencies, meet legal or accounting obligations, and improve future retreats.

We may send promotional updates when you have asked to receive them or when permitted by law. You may unsubscribe from marketing messages at any time. We do not use application answers to make decisions through a solely automated process.

Sensitive information

Information about health, accessibility, diet, sexual orientation, identity, or personal circumstances may be considered sensitive under some laws. Our retreats are created for gay men, so an application itself may reveal information about sexual orientation.

We ask for sensitive details only when they may help us discuss fit, safety, dietary planning, accessibility, or an appropriate level of support. You do not need to provide a diagnosis or unrelated medical history. Please share only what is relevant and what you are comfortable providing. We do not sell sensitive personal information or use it for unrelated advertising.

When we share information

We may share information with service providers that help us operate the website, forms, email, scheduling, payments, records, and retreats. This currently includes Jotform for embedded applications and inquiries. If you book, we may provide limited information to accommodations, guides, transportation providers, chefs, activity operators, or other retreat partners when reasonably needed to deliver the experience or respond to a stated need.

We may also disclose information to professional advisers, insurers, emergency responders, or authorities when reasonably necessary to protect safety, comply with law, establish or defend legal rights, or complete a business transaction. We do not sell personal information or share it with third parties for cross-context behavioral advertising.

Cookies and service providers

Our website, hosting provider, and embedded Jotform pages may use cookies or similar technologies to make pages work, maintain security, remember preferences, understand site activity, and operate forms. Those providers may process technical information under their own privacy terms.

Links to outside websites are provided for convenience. Once you leave our site, the other website's privacy practices apply. We will update this policy if we add material analytics, advertising, or tracking tools.

How long we keep information

We keep personal information only as long as reasonably needed for the purpose it was collected, including application review, communication, retreat planning, safety, legal compliance, accounting, dispute resolution, and legitimate business records.

Retention may differ by record type and whether you book. When information is no longer reasonably needed, we will delete it, de-identify it, or securely archive it when continued retention is required by law.

Security

We use reasonable administrative and technical measures appropriate to the type of information we hold and expect service providers to maintain safeguards for information they process. No website, email, form, or storage system can be guaranteed completely secure. Please do not send passport numbers, payment card details, or extensive medical records through an application form or ordinary email unless we specifically provide a secure method and explain why the information is required.

Your choices and rights

You may ask us to provide access to, correct, or delete personal information you submitted. You may also withdraw consent where processing depends on consent, object to or restrict certain uses where applicable, and opt out of promotional email. We may need to verify your identity before completing a request, and some records may need to be retained for legal, safety, accounting, or dispute purposes.

Privacy rights vary by location. We will honor rights required by applicable law and will not treat you unfairly for making a privacy request. If you believe a request was not handled properly, you may have the right to contact the privacy regulator where you live.

International information transfers

Owa He is based in the United States and may use providers or retreat partners in other countries. Your information may therefore be processed outside the place where you live. When required, we will use appropriate measures for international transfers and limit information shared with destination partners to what is reasonably necessary.

Adults only

Owa He applications and retreats are for adults age 18 and older. We do not knowingly request or collect personal information from anyone under 18. If we learn that a minor submitted personal information, we will take reasonable steps to delete it.

Changes and contact

We may update this policy as our services and providers develop or legal requirements change. The updated date will appear at the top of this page. If a change materially affects information already collected, we will provide additional notice when reasonably required.
